Responsibilities
Reporting to the Center's administration manager, the person carries out, under general supervision and in collaboration with other employees, a set of relatively complex secretarial work using varied methods and procedures resulting in responsibility for monitoring a specialized file or by monitoring various secretarial files, with regard to their current operations.
More specifically, the person takes care of taking calls for the reception of the Center, transmitting messages, managing the arrivals and departures register and keeps a petty cash register for the activities of his sector.
She writes and/or transcribes various correspondence and submits them to her superior(s) for signature.
She is responsible for organizing the logistics of meetings, meetings, seminars as well as displaying the Center's events on the screens. She is responsible for coordinating room reservations.
She oversees the inventory and procurement of stationery and office supplies. She prepares usage records for the Center's printing systems for billing purposes. She designs, verifies and prepares tables and statistics on the activities under her responsibility.
It produces and issues identity cards, distributes them to users and ensures that registers are kept up to date.
She programs user codes for the photocopiers, takes meter readings and produces a monthly photocopier usage report and sends it to the administration for billing purposes.
She may be called upon to draft and sign routine correspondence such as: memos, transmission slips, etc. She performs various office tasks of an administrative nature such as inventory and procurement, invoicing tracking and timesheet management.
She participates in the organization of the Center’s mobilization and sustainable development activities. She sits on various Center committees, ensures follow-ups and could act as committee secretary.
She can introduce new employees to work.
She temporarily performs the tasks of a related position or exceptionally the tasks of a lower position when required. The list of tasks and responsibilities already listed is summary and indicative.
Qualifications
- Hold a final secondary school diploma or hold a diploma or certificate of studies whose equivalence is recognized by the competent authority.
- Have a minimum of three (3) years of relevant experience.
- Rigor and precision in the work;
- Demonstrated ability to manage several files simultaneously and meet deadlines;
- Dynamism and proactivity;
- Demonstrated quality of decisions;
- Resourcefulness and autonomy;
- Interpersonal skills and customer service;
- Proficiency in Excel, Word, Powerpoint and Outlook;
- Knowledge of integrated management software;
- Mastery of the French language, spoken and written;
- Mastery of the English language, spoken and written.
