Responsibilities
-Manage all incoming phone calls;
-Greet visitors;
- Manage mail, messengers and emails;
-Manage documents reception / boxes by courier and distribution;
- Reconcile the checks received;
-Responsible for the kitchen cleaning and operation (cafe, grocery store, dishwasher, etc.);
-Responsible for the office supplies including ink cartridges and service calls;
-Manage calendar for birthdays and sends emails;
-Enter business cards and send Vcard;
-Manage Christmas list and send postcards;
-Send flowers when store opening;
-Return of goods;
-Manage conference rooms;
-Order caterer as needed or restaurant reservation (personal and company);
-Various service calls, office opening / closing;
-Filling invoices, journal entries, permanent files, and others;
-Scan and save school and municipal taxes;
-Special projects;
-Help sends documents to tenants;
-Write correspondence;
-Management of administrative tasks including printing, creation of files and personal requests from management;
-Light housekeeping;
-Checking the bathrooms to insure functioning (toilet paper, hand paper, Kleenex, soap etc.);
-Take care of the management of company cell phones;
-Do errands for the office;
-All other related tasks;
Qualifications
-Minimum of 5 years of experience in a receptionist position
-College education is an asset
-Must be bilingual French and English (both written and oral)
-Good knowledge of office software (MS office)
-Demonstrate ability in communication and negotiation, autonomy, initiative and a sense of
-organization
-Good management of confidential information
