Responsibilities
The ideal candidate will have a history of demonstrated results supporting small to mid-size cross-functional teams to accomplish technology projects across matrixed organizations. They must thrive in fast-paced environments, be able to manage through ambiguity and complexity, create and simplify processes, and support the project that impacts a growing global organization.
This role requires excellent communication, analytical and organizational skills.
Financial Reporting & Analysis
- Builds and maintains reporting for portfolio leaders and department leadership team
- Implements enhancements as requested by leadership
- Supports with ad hoc reporting and insight requests as needed
- Constantly monitor and analyze financial reporting for portfolio
- Consistently review data in report
- Investigate and validate forecast spikes
- Monitor future risks to forecast/budget/actuals etc.
- Identify opportunities for cost savings/ process improvements
- Use report to dig into forecasted costs and work with PMs to address any concerns prior to fiscal month lock
- Use report to ensure forecast accuracy for all expense types
- Prepare budget overviews for project and portfolio management and effectively communicate deviations if they occur
- Validate data in CAPEX report and work with portfolio team to get insight into variances
Budget Management Support
- Work with the project management team to keep track of budget, actuals, and commitments
- Facilitate monthly budget meetings to review budget trackers prior to fiscal period lock
- Facilitate monthly budget meetings to update Portfolio and Program Managers on current financial standing
- Provide insights to portfolio leaders
- Support portfolio team with the adoption of a new budget management tool (SPM)
- Become subject matter expert on how to use SPM
- Support in training project managers as needed
- Help teams transition into using the new tool – cutover from excel trackers into SPM, etc.
- Model funding allocations to receive the best outcome for the portfolio’s budget
- Audit budget trackers regularly
- Ensure budget health is in good standing across all programs/projects with the portfolio
- Support with Fund Transfer and Change Requests for your portfolio
- Maintain master document tracking all Fund Transfers and Change Requests within your portfolio
- See transfers through to completion
- Support Project Managers in updating budget information once transfers are completed
- Confirm updated budget totals are accurate across all financial reports
- Support Cloud cost management, provide insights for portfolio leaders and support Project Managers in updating forecasts
- Support with reclasses between CAPEX and OPEX
- Support with requests from FP&A (Financial Planning and Analysis) team
- Support with AOP (Annual Operating Plan) for your portfolio
Resource Management Support
- Coordination and verification of weekly timesheets for all team members, follow-up if necessary
- Run reports in time tracking software to ensure contract and FTE resources are submitting time accurately and Project Managers approving submitted time in accordance to PMO guidelines
- Monitor and analyze internal resource reports
- Monitor portfolio resource labour forecast across budget trackers
- Compare FTE labour forecast documents and reports with budget trackers
- Ensure Project Managers are updating any resource discrepancies in a timely manner, prior to fiscal period lock
- Support with resource forecasting for OPEX
- Support with resource analysis for the portfolio
- Contractor to FTE ratio
- Average rate by role, etc
- Verify allocation, rates, end dates, timesheets, SOW/contracts are current for all team members
- Invoice Management & Support
- Request PO’s based on SOWs and forecasts and process according invoices in an accurate and timely manner
- Ensure Statements of Work (SOW) of vendors are accurate and check if incoming invoices match previously discussed measures
- Ensure Project Managers are properly managing and forecasting purchase orders
- Work with vendors for invoice and payment timing
- Analyze invoice
Portfolio Management Support
- Produce Program Status Report and review with Portfolio Manager prior to distribution
- Communicate and collaborate with colleagues and if occasionally required support in the following tasks:
- Schedule meetings, workshops, and team events to support the team
- Take and distribute meeting notes and organize follow up items, actions and sessions
- Support Program Managers and Project Managers with recruitment when required
- Coordinate new team member onboarding and ensure all administrative tasks are completed in a timely manner
- Manage Program documentation, and consolidate document platforms to ensure simplicity and increase easy of finding documents
- Acting as a liaison for all projects to all internal users as well as vendors.
- Request information from vendors on SOWs, invoices, resourcing
- Schedule and hold meetings with internal stakeholders relating to budget allocations
- Support Portfolio Manager and Director with additional tasks if required
Qualifications
- Proven work as a Finance PM, Project Coordinator (financially focused), portfolio analyst
- Desire for continuous improvement
- Advanced MS Excel skills, strong MS office
- Experience in Coupa
- Asset: PowerBI experience
- Asset: ServiceNow ITBM knowledge, knowledge of Smartsheet
- Strong interpersonal and communication skills
- Very strong organization and follow-up capabilities
- Asset: experience in Agile environment
Preferred skills:
