We are looking for an Office Administrator to join the team of one of the top companies within the Commercial Real Estate industry, 5 days a week in their downtown Toronto office. The position involves the preparation, entry and issuing of tenant and contractor invoicing (~60% of the role), as well as assisting tenants and visitors, event bookings, tenant communications and organizing information digitally.

Responsibilities
What YOU will be doing as the Office Administrator :
• Prepare tenant chargeback invoicing ensuring accuracy, complete with relevant back up.
• Receive and prepare contractor for payment.
• Timely entry of tenant and base building invoicing into Nexus and MRI accounting systems.
• Issue purchase orders and process all vendor invoices in a timely manner; communicate directly with vendors to resolve accounts payable issues.
• Assist tenants with Tenant Lounge and event bookings inclusive of tenant events in communal areas of the building.
• Maintain an up-to-date tenant contact list for all properties.
• Maintain up-to-date tenant Certificate of Insurance information for all properties.
• Maintain the office clerical, filing and record keeping files.
• Greet tenants and visitors and assist with, or direct them to, the appropriate staff.
• Assist in tenant and event planning and execution when required.
• Maintain a tenant memo recipient list, update as required and send out memos as decided by the management team.
• Maintain current COI’s (Certificate of Insurance) documents for all tenants.
• Assist with Building and Operator Award set up, refreshments and ordering of food as required.
• Order office supplies as needed.
• Collect and distribute any Canada Post mail addressed to the management office.
• Organize courier deliveries when required.
• Assist with poster orders and deliveries when needed.
• Assist with seasonal decoration in the management office and or the “party room.”
• Assist with other office tasks as directed by the management team.
Qualifications
What YOU bring to the table:
• 2-3 years of experience with commercial property administration preferred.
• Previous experience in preparing and issuing invoices and processing payments.
• A passion for customer service and client relations.
• Strong organizational and problem solving skills.
