Legal Assistant – Insurance & Litigation
Our client, a prestigious national Australian law firm, is seeking a skilled and proactive Legal Assistant to join either the Litigation &/or Insurance team in their Melbourne CBD office. In this role, the Legal Assistant will:
- Manage general file maintenance, including regular filing and the opening and closing of files.
- Handle telephone communication, including answering incoming calls, taking detailed messages, and making outgoing calls as needed.
- Draft and prepare emails, letters, and documents.
- Liaise with staff, Partners, and Corporate Services teams (e.g., Document Support, Accounts, Mailroom, Reception, Catering) to coordinate support as required.
- Conduct basic research using the internet and library resources.
- Assist the Business Development team with tender submissions and client information.
- Prepare internal and external presentations.
- Manage emails, diaries, and scheduling.
- Prepare bills and coordinate client-specific billing requirements.
- Provide overflow support for general legal assistant tasks.
- Maintain contacts in the firm’s CRM system and assist with list management for events and communications.
- Perform other administrative duties as needed.
About You:
The ideal candidate will bring the following skills and experience:
- A minimum of two years’ experience as a Legal Assistant.
- Previous experience in a commercial law firm (highly desirable).
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Exceptional attention to detail.
- Strong interpersonal and communication skills.
- Reliability, punctuality, flexibility, and the ability to demonstrate initiative in supporting fee earners.
- Experience with legal billing systems and client management programs (e.g., Aderant) is desirable but not essential.
- Familiarity with document management systems (e.g., iManage10) is desirable but not required.
