For small and large works on an industrial building located in Evere and Zaventem, we are looking for an enthusiastic facility coordinator to coordinate the projects.
Responsibilities:
Defining scope and requirements:
Defining, clarifying and documenting the project scope through consultation with various stakeholders, including the applicant. Translating internal client expectations into clear, specified requirements
Propose feasibility study and solutions:
Organising or conducting a feasibility study and presenting possible solutions
Request for proposal preparation:
Coordinating and monitoring the engineering and preparation of the request for proposal package, including parts lists
Managing tender process:
Organising and monitoring the tender process, in cooperation with the Indirect Procurement Department (if applicable on an amount basis). Also organising and supervising site visits for potential contractors and suppliers
Analysis and recommendation:
Analysing quotes received and recommending solutions based on a balanced scorecard. Translating this information into an internal approval document
Ordering and contracts:
Once approved, ordering the work and preparing required contracts, with support from the legal department
Risk assessment:
Requesting and analysing risk assessments and providing required documents (such as product samples, B4/B5 certificates) to Safety & Health for approval
Communication and stakeholder management:
Liaising with relevant stakeholders (both internal and external) on project timing, potential implications, health and safety requirements and risks
Project planning and permitting:
Preparing the necessary planning and ensuring that all required permits are prepared and available (such as work permits, fire permits, special vehicle permits, Limosa declarations)
Safety measures:
Leading toolbox meetings prior to works (and if necessary during execution)
Work monitoring:
Oversee the execution of works, including early starts and Saturdays, to ensure compliance with safety and quality standards and to ensure that budgets and schedule are met
As-built information:
Collect and transfer all relevant as-built data (such as parts lists, AutoCAD drawings, technical sheets, CE certificates)
Transfer organising:
Planning and carrying out necessary handovers with suppliers and on-site maintenance teams
Progress reporting:
Share regular (weekly) updates on progress and status
Experience within facility management/coordination or project coordination (planning/follow-up/coordination)
Communication skills
Wanting to work on site (with the exception of administrative work)
Personality: sociable
Languages: very good knowledge of English
