Our client, a leading architecture firm, is looking to hire an Executive Assistant, reporting to one of the Associate VPs, for their downtown Montreal office.

Responsibilities
Manage the associate's entire schedule, coordinating availability, face-to-face meetings, travel, establishing an efficient timetable and making all necessary reservations and bookings;;
Draft and format letters, correspondence and reports;
Participate in the drafting of service offers and fee proposals;
Revise documents for layout, spelling and translation;
Create and update various Excel spreadsheets;
Prepare work plans and schedules;
File and search documents (document management);
Coordinate, plan and organize meetings and ensure smooth logistics;
Write minutes of studio and customer meetings;
Take calls, e-mails and mail from the associate, relay messages, process requests as well as documents and correspondence, contact clients to ensure follow-up;
Process expense reports;
Perform all other related tasks;
Qualifications
Professional and educational qualifications:
Professional or technical diploma in secretarial or administrative studies;
Minimum of 5 years in an administrative support position (Personal Assistant, Executive Assistant, etc.);
Excellent customer service (5 stars);
Proficiency in MS Office suite (Outlook, Excel, Word, Power Point, MS Project, Teams);
Knowledge of InDesign and Adobe;
Knowledge of Change Point (an asset);
Bilingualism (English and French) both spoken and written;
People skills:
Autonomy;
Friendly;
Curious;
Social qualities;
Proactive;
Flexible;
5-star customer service;
Diplomatic / Discreet;
Structured / organised;
Good stress management skills;
