We are looking for an Executive Assistant to join one of the top companies within the Commercial Real Estate industry within the heart of Toronto!
As the Executive Assistant, you will be an integral part of our team by providing crucial administrative support. Your role will encompass a range of responsibilities aimed at facilitating the efficient operation of our team and ensuring seamless communication within the organization. A background in marketing with the capability of professionalizing documents is an asset.
The ideal candidate exhibits a high degree of professionalism and confidentiality, along with the ability to adapt to diverse personalities, overcome challenges that are out of scope, and demonstrate strong time management skills in a team environment. Responsibilities
• Support multiple high-level Executives
• Complete service contracts as required
• Complete telecom agreements and renewals and provide to Director, Technical Services for
review
• Organize various health and safety training for Property Management Team and Company
wide and track certifications and completion of training as required
• Organize and Host Health and Safety Committee Meetings, including note taking and
distribution of meeting minutes
• Take meeting minutes for operation meetings and distribute
• Assists with the annual budget preparations including scheduling, and documentation and
assembly and distribution
• Manage calendars and meeting notices as required
• Arrange flight and hotel accommodations for internal staff as needed
• Plan & organize onsite and offsite meetings, including catering and facilities, as needed
• Plan & organize various events such as waste reduction week, and operator awards
• Assist property managers with BOMA Award submissions
• Organize couriers as required in conjunction with reception
• Maintain a comprehensive filing system, both electronic and hardcopy, of corporate
documents
• Edit, print, bind and distribute investor reports and materials
• Meeting minutes for investor meetings and distribute
• Complete expense report submissions and mileage reports
• Complete annual employee engagement surveys
• Complete drafts and coordinate the completion of annual tenant surveys
• Manage vacation and personal leave requests for all employees who report to the VP
• Performs various other duties as delegated or assigned including support for special
projects and transactions as required
Qualifications
• Minimum 2-3 year of previous Senior level Executive Assistant experience in a corporate setting
• Proficiency with standard office computer technology, particularly Microsoft Office: MS
Word, Excel, PowerPoint, Outlook and the Internet (online research skills)
• Strong organizational and time management skills in a fast-paced environment
• Ability to understand and multitask priorities, deadlines, and execute with a sense of
urgency
• Ability to communicate effectively, using sound judgement and discretion, and to work
independently as well as a team member
• Demonstrated problem solving capabilities, initiative and proactivity, with a strong
attention to detail
• Excellent oral and written communication skills
• High degree of confidentially and professionalism
