The ideal candidate will have excellent organizational and multitasking skills, will be initiative-taking, resourceful, and able to anticipate the needs of our executive(s) with their day-to-day administrative priorities. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.

Responsibilities
Co-ordinate the Executive Team schedules, meetings, and conference calls
Proactive maintenance and coordination of calendars involving extensive planning in order to utilize executive’s time in the most efficient manner
Responsible for coordinating all details for meetings, including booking meeting rooms, catering, agendas and presentation materials as required
Coordinate all travel arrangements ensuring all details are added to the calendars
Prepare, process and reconcile expense reports with accuracy and in a timely manner
Plan and schedule town halls for the various executives across different time zones
Prepare and edit correspondence, communications, presentations, spreadsheets and other documents in a timely manner
Manage and maintain an effective filing system with the ability to retrieve documents and reference materials
Review operating practices and implement improvements where necessary
Support the execution of social and team events throughout the year, including the United Way Campaign
Qualifications
Post-secondary education and equivalent experience in a senior administrative support capacity
Minimum of five (5) years’ experience, preferably supporting C suite or Senior level executives
Excellent knowledge of MS Office Suite of products (Excel, Word, Outlook, in particular,
PowerPoint presentations)
Proficiency in creating presentations and spreadsheets, ability to create, edit, and proofread
communications
Strong verbal and written communication and interpersonal skills, including a professional telephone manner
Strong attention to detail
Excellent organizational skills, ability to multitask with several priorities
Flexibility, high-energy level, drive for results
