1. Calendar & Schedule Management:
Efficiently manage the Executive Director’s calendar, ensuring optimal time
management, coordinating meetings, appointments, and travel using Outlook & I

2. Communication Handling:
Screen and prioritize incoming communications, including phone calls, emails,
and correspondence, and ensure timely responses or appropriate delegation.
Verifying purchase orders, service purchase orders, and sales orders, ensuring
timely closure of pending orders.
Verifying and making payments.
3. Meeting & Event Coordination:
Organize internal and external meetings, including preparing agendas, taking
minutes, and following up on action items. Also, assist with organizing corporate
events or conferences.
Organizing production review meetings with the plant team and cost analysis
meetings with the finance team.
Effectively schedule and co-ordinate the meetings in an accurate and flexible
manner by inviting participants.
4. Document Preparation & Management:
Draft, proofread, and finalize business documents, presentations, and reports as
required by the Executive Director.
Preparing daily reports on machine-wise production, raw material inventory, sales
performance, target vs. achievement analysis, and backlog tracking
Collaborating with the sales team to meet targets and organized monthly review
meetings to evaluate performance and set goals for the upcoming month.5. Project Assistance:
Provide support for special projects, research, and data collection, ensuring deadlines
are met and deliverables are completed accurately.6. Confidentiality & Discretion:Handle sensitive and confidential information with the utmost discretion and
professionalism.
7. Liaison Role:
Serve as a point of contact between the Executive Director and other internal/external
stakeholders, building relationships on behalf of the Director. Requirements:
8-10 years experience as an executive assistant supporting high-level executives.
Strong proficiency with office software (Microsoft Office, Google Workspace) as well
as communication tools and scheduling software.
Excellent verbal and written communication skills.
Exceptional organizational, multitasking, and time-management skills.
Ability to work under pressure and handle competing priorities with professionalism.
Ability to maintain confidentiality and exercise discretion
