This is a contract that will run until the end of September 2024, with possibility of extension after that. This is ideally a hybrid contract, but at minimum will require the Event Manager to be onsite for monthly events (3 full days consecutively).

Responsibilities
• Actively plan short- and long-term logistics for Board of Directors meetings and events
• Collaborate with the Operations Manager and Senior Manager, Governance on logistics for all board and committee meetings
• Manage all aspects of program development, event planning, and event execution
• Create comprehensive project plans with key business partners to deliver high-quality events efficiently
• Prepare effective communications for the Board and other stakeholders as needed
• Serve as the primary contact for Directors regarding Board meeting logistics, ensuring timely and professional interactions
• Develop contingency plans to ensure smooth event execution
• Conduct venue/vendor sourcing, contracting, and negotiations within specified budgets and service levels
• Manage AV requirements and coordinate with AV vendors and producers for speaker presentations
• Stay current on event industry trends and best practices, recommending and implementing new, innovative ideas
• Manage relationships and work closely with the CEO's office, Technology, and senior management to provide event management expertise and counsel
• Demonstrated experience in negotiating with external vendors
• Oversee event budget management to ensure quality program delivery
• Identify and implement program efficiencies, process improvements, and cost-saving strategies
• Ensure accurate and timely event reconciliation, including invoice processing and cost center charge-outs
Qualifications
• Must have 5-7 years of experience planning corporate events for Senior Leaders
• Highly motivated individual with proven event management and project management experience, capable of leading large, multifaceted projects
• Relevant communication experience with well-developed written, verbal, and visual communication skills
• Strong business acumen and analytical skills, able to consolidate information into concise recommendations
• Exceptional organizational skills with the ability to manage multiple projects simultaneously
• Strong interpersonal and relationship management skills, with a passion for delivering high-quality events focused on the Directors' experience
• Ability to work in a fast-paced environment, managing multiple deadlines and priorities
• Self-motivated, team player with high energy and the ability to work independently
• Willingness to travel within and outside of Canada
• Flexibility to work variable hours, including weekends, early mornings, and evenings during event planning peaks
Summary
The Events Manager will be required to attend all events, including those that involve travel. Flexibility in working hours is essential during peak event planning periods.
