Responsibilities
- Inbound and Outbound Calls: Serve as the primary contact for customers, handling approximately 30-40 calls daily, ensuring smooth communication between clients, banks, and lawyers.
- Document Processing: Prepare and manage document packages for law firms and coordinate incoming and outgoing mail.
- Appointment Scheduling: Schedule and coordinate signing appointments with clients, legal representatives, and lenders to facilitate the mortgage documentation process.
- Team Support: Assist with internal inquiries and collaborate closely with a small team of 3-4 colleagues.
- Compliance & Reporting: Update clients and partners on file statuses using internal systems, meeting service standards and compliance requirements.
Qualifications
- Minimum one year in a customer service (on the phone) , or call center environment, handling client inquiries effectively and professionally.
- Background or knowledge in mortgage administration or graduate of a law clerk/legal admin program or equivalent experience is nice to have
- Experience with the end to end real estate transaction cycle (nice to have)
- Excellent phone manner and the ability to communicate clearly with clients and internal partners.
- Capable of multitasking and prioritizing in a fast-paced setting.
- Intermediate skills in MS Office (Word, Excel, PowerPoint) and experience with internal systems or document handling software.
