Responsibilities
•Regularly bill work-in-process inventory to improve realizations, ensuring compliance with client formats.
•Coordinate billing tasks with Legal Assistants, Partners, and the Billing and Collection department.
•Manage client relationships to expedite invoice payments by:
oReviewing engagement letters, billing guidelines, and arrangements for compliance.
oHandling and resolving client inquiries.
oMaintaining detailed records of client communications.
•Assist Partners in preparing documents for closing client transactions through trust accounts.
•Process pre-bills and handle monthly billing for Partners.
•Draft and finalize invoices for clients.
•Oversee month-end billing and collections, addressing disputes and acting as the first point of contact.
•Follow up with the Billing Manager, Partners, and clients on overdue accounts and work-in-progress using reports and systems.
•Contact clients regarding outstanding receivables, resolve discrepancies, and maintain accurate communication records.
•Resolve partial or unresolved payments from clients.
•Maintain good relations with both internal and external clients.
Qualifications
Education and Experience:
•University degree in a business discipline, with coursework in accounting and finance.
•Minimum of 3 years of experience in billing or accounts receivable. Equivalent combinations of education, training, and experience will be considered.
Knowledge and Skills:
•Proficiency with legal billing software such as Aderant, Pre-Bill Viewer, eBilling Hub, or similar platforms.
•Solution-oriented and able to work under pressure.
•Professional demeanor for effective communication with legal professionals and clients.
•High proficiency in computer software, including spreadsheets and databases.
•Ability to interact with senior Firm members, earning their trust and confidence.
•Excellent oral and written communication, listening, interpersonal, and negotiation skills.
•Strong attention to detail, organizational and time management skills, and the ability to balance daily tasks.
