Responsibilities
Financial Management:
• Plan, develop, prepare, and manage Operating and Capital budgets for the buildings in the portfolio.
• Prepare monthly reports for ownership on operations and variance analysis.
• Manage various large service contracts and prepare tender documents as needed.
• Review and report on the performance of outside service contractors.
• Monitor and manage service contracts, ensuring that all terms and conditions are adhered to, and that the quality of work meets quality control standards.
• Investigate potential cost savings initiatives.
Property Operations:
• Plan, tender, and manage Capital Improvement projects.
• Become proficient with invoicing software Nexus and accounting software MRI.
• Review and confirm account coding, job status, and cost to approve PO #s and invoices.
• Attend monthly management and A/R meetings as required.
• Monitor receivables and contact tenants regarding outstanding balances.
• Work closely with Building Operations to maintain best-in-class building efficiencies, operations, and sustainability.
• Respond to building emergencies by coordinating building operations, security, housekeeping staff, and emergency response contractors.
Tenant Relations and Customer Service:
• Interact with tenants to provide excellent customer service and resolve tenant concerns.
• Liaise with contractors to maintain relationships producing timely and best-in-class service.
• Ensure operational compliance and reporting to Governments and Authorities is maintained and initiated when introduced.
• Implement and maintain Energy Efficiency, Sustainability, and Decarbonization initiatives as Senior Management directs.
• Maintain and strengthen current building achievements in LEED Platinum, BOMA BEST Platinum, BOMA 360, BOMA Earth Award, Energy Star, ZCB (Zero •
• Carbon Building), BOMA TOBY Award, and any other industry recognitions building ownership deems appropriate.
• Consider expanding ESG initiatives as directed by Senior Management.
Professional Development and Administrative Duties:
• Keep abreast of new developments, standards, and best practices within commercial real estate by researching and attending industry events.
• Assist in creating an ongoing social media presence for the properties i.e., LinkedIn, Instagram.
• Pursue industry designations as time permits i.e., RPA, LEED Associate.
• Maintain the office clerical, filing, and record-keeping digital files (Office Z:/ drive).
• Perform monthly accruals.
• Conduct regular tenant visits and establish ongoing relations to understand their concerns.
• Communicate with tenants on all storage, leasing, and general office leasing inquiries such as billings, yearly charges, tenant questions, concerns & complaints.
• Coordinate “special events” to develop relationships with and between the tenants.
• Ensure the property has a “first-class” appearance.
Qualifications
Education:
• University degree or College diploma in business administration, Real Estate Management, or related field.
Professional experience:
• Minimum of 5 years of experience in commercial property management, preferably in Class A office buildings.
• Demonstrated experience in financial management, contract administration, and building operations.
• Proven track record of successful tenant relations and customer service.
Personal Competencies:
• Excellent communication and interpersonal skills
• Analytical mindset with problem-solving skills.
• Ability to work independently and under pressure, managing multiple priorities and deadlines effectively.
