We are looking for an Assistant Manager to join our client's team in supporting their programs. Working closely with the Manager, you will assist in executing strategies that drive client satisfaction, maximize revenue, and ensure timely, accurate service delivery. Responsibilities
What YOU will be doing as the Assistant Manager:
• Establish and maintain an excellent and professional relationship with clients, including legal counsel and external service providers, and be responsive to their needs.
• Day-to-day administration of programs and services.
• Help create, implement and execute strategies that achieve objectives and client satisfaction.
• Help manage client, legal counsel, and shareholder concerns and complaints promptly while providing responses that ensure our reputation is maintained and each is dealt with fairly.
• Prepare and review documents for accuracy, ability to execute, operational viability, and to ensure client expectations can be met. Work with and share comments with the team, Sales group, clients, and legal counsel, as applicable.
• Understand and comprehend agreements and ensure related operational matters are correctly executed within specified or acceptable timeframes.
• Prioritize work, train and guide additional temporary staff concerning systems, policies and procedures related to the planning and administration of our programs and services.
• Assist with managing programs and services so they comply with policy, procedures, regulations, agreements, etc.
• Help provide technical support on the database(s) and assist with preparing, filing, and mailing tax-related matters.
• Possess a general understanding of the TSX rules on Odd-Lot Programs, escheatment, takeover rules, our insurance bonds, and industry-related issues that arise.
• Coordinate internal and external activities to ensure superior service and exceptional quality standards.
• Liaise with the broker community, CDS & DTC as necessary with regard to Depositary
• Must be knowledgeable about transfer requirements for various registration situations.
• Must ensure that all deposits are reviewed for accuracy before delivering to and from the transfer agent. Likewise, before entitlements are sent to shareholders.
• Must possess a good understanding of our database system and the ability to generate various reports to help manage programs, revenue generation actions, tax filing preparations, accurate client reporting and insurance reports.
• Assist with coordinating scripts, outbound calling campaigns, and mailings.
• Be flexible with work hours, particularly regarding depositary files and their expiry dates, as well as escrow and paying agent closing deadlines.
Qualifications
What YOU bring to the table:
• Must have strong interpersonal skills. Possess creativity, excellent verbal and written communication skills, and willingness and enthusiasm to learn and develop.
• Possess the ability to deal with the public confidently and professionally.
• Ability to work flexible hours, multi-task and prioritize.
• 3-5 years experience in a securities-related industry or the equivalent combination of education and experience.
• College or University degree an asset.
• Canadian Securities Course, Trust Institute, or Securities Industry courses desirable.
• Excel, Word, and database knowledge an asset.
