Responsibilities
- Maintain paperwork pertaining to RMA’s, plant discrepancy reports and return shipments as required for processing.
- Maintain Customer Master file and all filing daily (bills of lading, deposits, invoices)
- Verify all bills of lading are invoiced before closing at month end and that all deposits for the month balance general ledger cash postings.
- Receive and check bills of lading and invoices and modify where necessary for freight, set-up charges, containers.
- Investigate short payments and debit memos. Obtain backups, issues credits and email to correct plants.
- Follow-up on overdue accounts via phone and or email.
- Process cheques and manage payable invoices to freight and brokerage vendors.
- Assist Controller and VP of Finance with any special projects.
- Other duties as required.
Qualifications
The duties for the A/R Collections and Invoicing Specialist will include:
- Must have 2+ years in A/R, collections and customer service by phone.
- Must have experience with P.O. generating, tracking, billing and providing details to clients - up to 100 invoices per week
- Must have experience working in a manufacturing environment dealing with accounts receivable.
- Must have experience and knowledge with NAFTA certificates regarding cross boarder transportation of products.
- Must have accurate data entry skills and proficiency in MS Excel and MS Word.
- Ability to work effectively with Sage accounting software.
- Strong communication and customer service skills.
- Self-starter, detail-oriented, ability to prioritize tasks and meet deadlines.
