Customer Legal Services provides legal services in relation to a diverse breadth of legal issues faced by
customers of the Public Trustee. The Public Trustee acts in a representative capacity including in the
capacity of Administrator for financial matters under the Guardianship and Administration Act 2000, Attorney
under the Powers of Attorney Act 1998, litigation guardian for persons under a legal incapacity, personal
representative of deceased estates, and trustee of a trust.
About the role
As Manager Legal Administrative Support, you will:
- act as the manager of the Legal Administrative Support staff within the group, providing direction, leadership and co-ordination of the Legal Services Administrative Support group to meet the current and future legal secretarial and administrative support needs, to enable the business area to meet service demands and challenges.
- This position reports to the relevant Official Solicitor and has the following direct reports: Assistant Manager Legal Administrative Support, Executive Legal Secretaries, and legal Secretaries. In total, the position supervises a team of approximately 10.
Your key responsibilities include:
• Manage the Legal Administrative Support Group and its daily operations to ensure the effective use of
resources and that established client service standards are met.
• Take responsibility for the development of quality legal administration service delivery, facilitate
teamwork, and be accountable for the group’s Performance Planning and Development, workload
distribution, and consistent processes and procedures.
• Regularly liaise with the Managing Lawyers to set agreed outcomes on the quality of services delivered
and ensure that such services are regularly monitored and evaluated.
• Deal professionally with sensitive and confidential issues that arise within Legal Services and the Public
Trust Office in general.
• Prepare Briefing Notes relating to profit and loss approvals, understanding the application of the current
Community Service Obligation Policy on legal fees and outlays, requesting the transfer of funds between
business units, and liaising with members of other business units as required.
• Develop and maintain positive working relationships with a broad range of stakeholders both internal and
external to the Public Trust Office.
• Provide comprehensive legal executive administrative and secretarial support to the Official Solicitor
including:
o Accurate, up-to-date diary management ensuring forward planning of regular meetings, and provision
of supporting documents for meetings.
o Preparing in a timely manner executive correspondence including emails, reports, and briefing notes.
• Contributing to a positive and safe work environment by modelling conduct that is culturally capable,
inclusive, respectful, and ethical.
