Responsibilities
As a key member of the team, you will be responsible for a variety of essential administrative tasks contributing to the smooth running of our employability services. Under the responsibility of the program coordinator, your responsibilities will be:
• Make room reservations (physical and/or virtual) for meetings, conferences and special events
• Take calls and ensure they are directed to the right resources
• Take all voice messages and make necessary reminders
• Proceed with the registration of participants (Salesforce) for our three employability programs
• Process several types of data and generate Excel reports (program evaluations, recruitment statistics, collective report, EQ report)
• Collaborate in the planning and organization of various events (job fair, graduation ceremonies and others)
• Manage the MSI (Service-Québec) platform (process applications, manage deadlines, follow-ups)
• Prepare digital documentation for future and current participants
• Provide administrative support to the employability services coordinator
• Create correspondence between external agents and the organization for certain clienteles
• Manage schedules for individual meetings between advisors and participants
• Make text corrections
• Create agendas for certain meetings
• Carry out data classification
• Any other related tasks
Qualifications
• DEP in secretarial work
• OR any other combination of studies and relevant professional experience.
• Minimum 2 years of professional experience in similar functions.
• Experience in the community environment and knowledge of issues affecting the status of women, an asset.
• Bilingualism in French and English, both oral and written;
• Knowledge of a 3rd language, an asset.
• Great expertise in Excel software
• Good knowledge of Microsoft Office suite tools
• Good knowledge of the Salesforce database
• Curiosity, dynamism, creativity and autonomy.
• Developed listening, analysis and synthesis skills.
• Good communication, oral and written.
• Ease of adaptation and ability to work in a collaborative and iterative mode.
• Ability to work on several files simultaneously and to prioritize.
• Attention to detail and quality, good graphic eye.
• Ability to integrate and work in a team.
